Overview & how to cancel

Cicloposse is a fully licensed Italian adventure tour operator. We comply with applicable Italian and EU consumer and travel regulations, and we handle deposits and payments accordingly.

We always aim to be fair and flexible—especially on self-guided tours—while guided tours follow stricter terms because hotels, guides, and services are booked in advance and cancellations can affect the entire departure.

How to cancel: To cancel your trip, we must receive written notice by email (with confirmed delivery). Cancellation fees (if any) are due to Cicloposse at the time we receive your cancellation request.

Booking deposits & voucher/credit

Typical deposit amounts (confirmed at booking):

  • Self-guided tours: typically €300 per person
  • Guided tours: typically €500 per person

Deposits may vary depending on the itinerary, season, and supplier booking terms. The exact deposit amount is always confirmed at the time of booking.

Voucher/credit note: If you cancel well in advance, we may offer a deposit voucher/credit toward a future trip. Any voucher/credit is issued at Cicloposse’s discretion and may be subject to availability, seasonality, and price differences.

Cancellation fees — Self-guided bike tours

More than 30 days before departure

  • The booking deposit is non-refundable (retained as a processing fee).
  • In many cases, if you cancel well in advance, we may offer the deposit as a voucher/credit toward a future trip (see deposit note).

15–30 days before departure

  • 50% of the trip price.

0–15 days before departure

  • 100% of the trip price.
Cancellation fees — Guided bike tours

More than 60 days before departure

  • The booking deposit is non-refundable.
  • If you cancel well in advance, we may offer the deposit as a voucher/credit toward a future departure (see deposit note).

60–30 days before departure

  • 50% of the trip price.

0–30 days before departure

  • 100% of the trip price.
Custom private GROUP tours (tailor-made itineraries)

Custom private group tours require extensive planning and often involve accommodations and services that request non-refundable deposits at the time of booking.

For this reason, cancellation terms for custom/private guided group tours may be stricter than for scheduled guided tours, and the booking deposit may be higher or subject to different conditions.

A custom cancellation policy will be provided in writing (and confirmed before payment) based on the destination, travel dates, group requirements, and supplier terms.

After departure

No refunds are made for unused portions of the tour once it has begun.

Cancellations by Cicloposse

In very rare cases it may be necessary for Cicloposse to cancel a tour. In the event of cancellation, we will issue a full refund, and this constitutes full settlement. Cicloposse is not responsible for other expenses incurred (such as pre-paid hotel reservations or non-refundable airline tickets).

Scheduled guided tours with low enrollment may be subject to cancellation. Registrants will receive 60 days’ notice and may choose a full refund or the option to move to another scheduled week.

Changes to your trip

Clients may request minor itinerary changes once the trip is confirmed, within reason and with sufficient advance notice. We will do our best to accommodate your requests.

Major changes may incur additional planning fees, in addition to the amount initially quoted.
